10,000 Subscriber Q&A: My Planner Routine, S.H.E. Method, and Staying Organized in Real Life

If you’ve ever felt like staying organized only works when life is calm and predictable, you’re not alone.

In this post (and video), I’m sharing what’s actually working for me right now — including my planner routine, how I use the S.H.E. / index card system, and how I stay grounded during busy seasons of life.

Reaching 10,000 subscribers on YouTube feels like such a meaningful milestone, and I wanted to take a moment to slow down and simply say thank you.

When I started sharing videos on Natasha’s Healthy Living, my hope was to create a space that felt calm, helpful, and authentic — not perfect.

So for this milestone, I asked what questions you had… and so many of them centered around a few key things:

• my planner routine
• the S.H.E. / index card system
• and how to stay consistent when life feels unpredictable

In today’s video, I’m walking through all of that in a very honest, practical way.

My Planner Routine (What It Actually Looks Like)

One of the most common questions I received was about my planner routine.

The truth is, it’s much simpler than it may appear.

I’m not doing elaborate weekly resets every single week.

Instead, I focus on:

• daily check-ins
• capturing tasks as they come up
• and doing a simple weekly reset to capture what’s important

On a monthly level, I also make sure to “close the loop” — going back through unfinished tasks and making sure everything has a place moving forward.


The S.H.E. / Index Card System

Many of you also asked for more explanation of the S.H.E. (Sidetracked Home Executives) method and how I personally use index cards.

At its core, this system is about:

• getting repetitive tasks out of your head
• breaking them into manageable pieces
• and creating a flexible structure you can return to

It’s not about perfection — it’s about consistency over time.

I also loved hearing from viewers outside the U.S. who are discovering this system for the first time. It’s such a reminder of how powerful simple systems can be.


Planner Dividers and Setup Questions

Another group of questions focused on how to set up dividers and organize categories.

My biggest advice here is to keep it simple.

You don’t need:

• perfectly labeled sections
• a card and divider for every possible task you can think of
• or an overly detailed structure

Instead, focus on creating a system that feels easy to maintain.


Staying Consistent When Life Isn’t Predictable

One of the most thoughtful questions I received was about how to stay consistent when life feels unpredictable.

This is something I relate to deeply.

Life doesn’t always follow a perfect routine — and that’s exactly why I rely on flexible systems like my planner and index cards.

Instead of trying to stay perfectly on track, I focus on returning to the system when I can. And I try not to expect perfection.

That shift alone has made a huge difference.

This season of life is full, and I’m learning to build systems that support that — not fight against it.
